Optimum Chiropractie is responsible for the processing of your personal data as described in this Privacy Statement.

What personal data do we process?

We only process personal data that is necessary for our services, administration and compliance with our legal obligations.

Depending on your relationship with Optimum Chiropractie, we may process the following types of data:

  • first and last name;

  • date of birth;

  • gender, where relevant to our services;

  • address;

  • telephone number;

  • email address;

  • information relating to appointments and communications with us;

  • information you provide to us yourself;

  • health data necessary for providing and administering our care and maintaining your records;

  • data necessary for administration and billing;

  • data that we are legally required to process;

  • your Dutch citizen service number (BSN), where we are legally required to process it.

Health data is a special category of personal data under the GDPR. We handle this information with particular care and confidentiality.

Why do we use your personal data?

We process your personal data when necessary, including to:

  • provide and administer our care;

  • schedule and manage appointments;

  • maintain your records;

  • assess information relevant to your care;

  • record chiropractic adjustments and monitor your care;

  • carry out administrative and financial tasks;

  • process payments and invoices;

  • comply with legal obligations;

  • communicate with you about appointments and our services;

  • respond to your questions and requests;

  • improve our services and website where this is done lawfully;

  • send information, news or other communications by email where permitted by law.

We do not process more personal data than necessary for the relevant purpose.

What is the legal basis for processing your personal data?

Depending on the situation, we process your personal data on the basis of one or more legal grounds under the GDPR. These may include:

  • processing necessary for the performance of a contract or for taking steps at your request before entering into a contract;

  • compliance with a legal obligation;

  • processing necessary for providing care and maintaining your records where a legal basis exists for this;

  • our legitimate interest, where the applicable legal requirements are met;

  • your consent, where this is the applicable legal basis.

Where we rely on your consent, you may withdraw it at any time. Withdrawing your consent does not affect the lawfulness of processing carried out before your consent was withdrawn.

Health data and your records

In order to provide appropriate care, we may process health information and record it in your client file.

The processing of health data is subject to additional legal requirements. We treat this information confidentially and do not share it with other people or organisations without a valid reason.

Your records are generally retained for at least 20 years. This period is calculated from the date the record was last amended.

In certain circumstances, a record may be retained for longer where this is necessary for the quality of care or where another legal basis permits this.

BSN

When we process your Dutch citizen service number (BSN), we do so only where we are legally required or authorised to do so.

Your BSN does not appear on our invoices.

Who do we share your personal data with?

We do not provide your personal data to other people or organisations without a valid reason.

Where necessary for our services, we use external service providers for certain activities. These may include:

  • appointment scheduling and management;

  • management of client information and records;

  • administration and billing;

  • payment processing;

  • hosting and technical support;

  • communication;

  • operation and analysis of our website;

  • sending newsletters and other emails.

These service providers process personal data only to the extent necessary for the services they provide to us. Where appropriate, we enter into agreements with them concerning the protection and confidentiality of your data.

We may also disclose personal data where we are legally required to do so.

Where sharing medical information with another healthcare professional requires your consent, we will ask for your consent.

PracticeHub

We use PracticeHub to manage appointments, client information and records.

PracticeHub may contain your name, contact details, address, date of birth, BSN and health information. This information may relate to your reason for seeking care, health status, treatments received and the care you receive at Optimum Chiropractie.

This information is processed only to the extent necessary for providing and administering our care and maintaining your records.

Your BSN is processed only where required by applicable laws and regulations. Your BSN does not appear on our invoices.

PracticeHub processes this information on behalf of Optimum Chiropractie.

We enter into agreements with our service providers concerning the protection and confidentiality of personal data and ensure that appropriate security measures are applied.

Website and Google Analytics

Our website is technically hosted and provided by Wix.

We may use Google Analytics to understand how visitors use our website, for example which pages are viewed and how visitors navigate the website.

This helps us improve the content, functionality and usability of our website.

Where required by law, Google Analytics is only used after you have given your consent through our cookie settings.

Google Ads

We may use Google Ads for our online advertising and to measure the effectiveness of our advertising campaigns.

Depending on your cookie preferences, cookies or similar technologies may be used for this purpose.

Newsletters and Mailchimp

Optimum Chiropractie may occasionally send information, news or other communications by email to clients and other contacts.

We may use Mailchimp to send and manage these emails. This may involve processing information such as your name and email address.

If you no longer wish to receive emails from us, you can easily unsubscribe using the unsubscribe option included in the relevant email.

Mailchimp processes personal data on our behalf.

Personal data may be processed outside the European Economic Area. Where this occurs, appropriate safeguards are applied in accordance with the GDPR.

How long do we keep your personal data?

We do not retain personal data for longer than necessary for the purpose for which it was collected, unless a statutory retention period applies.

For healthcare records, a statutory retention period of at least 20 years generally applies from the date the record was last amended.

Different statutory retention periods may apply to administrative and financial data.

How do we protect your data?

Optimum Chiropractie takes appropriate technical and organisational measures to protect your personal data against loss, unauthorised access, misuse, unwanted disclosure and unauthorised modification.

Access to personal data is limited to people and parties who need it for their work.

Depending on the circumstances and applicable law, you have various rights regarding your personal data. These may include the right to:

Specific rights regarding healthcare records also apply under the WGBO.
